1. A User Space? But for which use?
The User Space is similar to a folder associated with a single user.
This space allows you to:
- Download files from your device.
- Customize content directly from the application.
- Create new contents from existing templates ("Template") provided by administrator (pptx, docx, xlsx, etc.).
Important: a document created from a template does not modify the original template.
Note: this feature is available on the web version, and from version 8 on iOS, Windows and Android applications.
2. Create a User Space
To create one or more user spaces, the administrator must go to Studio > Application and press the "Create a user space" button located at the top right of the screen.
A pop-up window will prompt you to customize the user space as a new folder.
2.1 User Space Design
The first tab "Graphics", allows you to define the visual aspect of the user space:
- [Required] The name of the folder (e.g. "User space", "Personal space", "Private folder")
- [Optional] The thumbnail (Make sure you respect the recommended dimensions 648 x 622 px)
- [Optional] The background of the folder. It is defined by default and you can set it to your colors.
2.2. Associated users
The "Associated users" tab allows you to associate users.
The folders will be automatically opened and accessible from the home page of the end-user application.
It is also possible to select groups of users, very useful to quickly associate a set of users.
To validate the creation of the user space it is imperative to validate the creation with the "Add folder" button.
The newly created folder appears in the tree structure of all user spaces (subfolders).
It is necessary to publish it to make it visible.
3. Example of use
Once the user space has been created and published, users will see a new "User space" button at the bottom right of their application's home page.
By clicking on the "User Space" button, the user accesses his dedicated space. This space behaves like a traditional folder in which they can import documents or other files.
The "import from my device" button allows you to upload a file.
The imported documents are displayed as a list.
It is possible to order the list with the button located on the left of the document by drag and drop.
By clicking on the "Edit" button on the right, it is possible to :
- Rename the file,
- Publish/unpublish the file,
- Delete the file.
4. Delete or unpublish a user space
Unpublishing the User Space folder from the Studio leads to the deactivation of all the user spaces.
To delete a single user's space, simply:
Remove the user from the authorized group
Delete the user directly from the associated users.
5. Deactivate the "User Space" feature
The "User Space" feature is offered by default in your Studio.
If you want to deactivate it, you can request it to your CSM or write to Touch & Sell Support.
